POSITION SUMMARY:
This position is responsible for overall office maintenance and administrative duties. Functions of this position include invoicing of receivables through Chamber Master, coordinating meetings and events, travel arrangements and providing administrative support for assigned committees and staff. This position is the “front line” staff person, the first contact visitors/partners have with our organization and is responsible for maintaining the Partnership’s professional image, both on the telephone and in person.

PRIMARY POSITION RESPONSIBILITIES:
• Open and close office.
• Answer telephone, greet customers.
• Master calendar management.
• Coordinate and attend meetings/function as requested.
• Assist controller with accounting duties.
• Make travel arrangements.
• Maintain internal and external office appearance.
• Provide exemplary customer service to internal and external customers.

SPECIFIC WORK RESPONSIBILITIES:
• Provide support for committees and boards as assigned.
• Coordinate meetings, prepare materials and attend meetings as assigned.
• Assist controller with weekly deposits, credit card receipts, LSCP receivables, RFPs, etc.
• Coordinate monthly team meetings
• Order and stock supplies.
• Complete interoffice work orders as requested.
• Update the master calendar with PTO, travel and events.
• Schedule cleaning and maintenance of office as needed.
• Invoice support for email broadcasts and BAH.
• Plan staff birthday celebrations
• Perform general office duties such as faxing, filing, copying, word processing, etc.
• Other duties as assigned.
KNOWLEDGE:
• An understanding of the Northern Michigan geographic, economic, cultural and political environment.
• Working knowledge of computers/software tools

JOB SPECIFICATIONS:
Education, Experience and Certifications
• Bachelor’s degree or equivalent work experience
• Excellent written and oral communication skills.
• Experience working as an administrative assistant
• Valid Michigan Driver’s License

SPECIFIC PAY INFORMATION:
• Nature of the position: Full-time
• Wage: Dependent upon education, certifications and experience
• This position is eligible for Bonus Programs, Simple IRA, Paid time off and Health Insurance.
